Extended Care Dismissal Only

Extended Care only may be used by individual schools or by independent care providers either after regular school hours or during the day on days in which school is not in session.

Create Accounts

It is necessary to create at least one account of each of the following types, but in practice there will usually be several users of each of these:

  • Local Administrator
  • Ext Care

It may also be desired to create accounts of type Classroom to allow for non-administrators to manage subsets of the students. A classroom account may be created for any subset of students to be managed, such as by origin school or age level, the the students may be assigned to that classroom account for future management. If students are not assigned to classroom accounts, then the management of students will only be available to Local Admin accounts.

Create End of Day Groups

End of day groups are used by Silent Dismissal for Extended Care Only tracking to logically group students together to facilitate easier check in procedures and to properly assign daily charges.

For example, if a group of students arrives together on the same bus, create a group named after that bus and assign the students to that group so that they will appear on the same page for check in without being aggregated with all of the students. Similarly if students arrive together from a single school either via walking or on a school bus, create a group with those students.

In the event students are charged different rates based upon age group then it may be necessary to create two or more logical groups for students who arrive together.

The rate charged to a group for daily check in should be the full price for the service; reduced check in rates, or discounts, are assigned to individual students.

For each group created, set an automatic daily dismissal time prior to the earliest check in time for the students, e.g., 8:00 AM, so that when the students arrive on site they will be listed on the check in roster.

Create Individual Student Records

Student records may be created in bulk or individually.

If students are created individually, select the “In Extended Care” option. Students who have been added in bulk may be assigned to extended care by a Local Admin by selecting EXTENDEDCARE / STUDENTS, selecting the check box at the top of the first column then scrolling to the bottom of list of active students on the page and pressing the blue Add button.

Create Post Extended Care Groups (optional)

Some extended care providers also offer a service to take children home at the end of the care session. If all of the students in extended care are picked up by parents on site, then this step is not required.

As Local Admin navigate to EXTENDEDCARE / POST GROUPS to view the list of existing groups defined for student dismissal following extended care or to create a new post extended care group.

Post Extended Care Groups are managed similar to end of school day groups.

Create Extended Care Sub Groups (optional)

Extended Care Sub Groups are used to notify staff when one or more students need to participate in a specific activity. Often times these are termed Enrichment. These sub groups may offer specialized instruction for students often provided by an outside resource and often for an additional fee.

Assigning students to sub groups provides a simple notification to the staff of the specific children to participate in the the enrichment program so that no participating students are overlooked and also allows staff to logically move students from one location in the facility to another so that the students' whereabouts may be more closely managed.

To be effective, sub groups must be set with an automatic dismissal time. If multiple subgroups occur within a service day, then each time for the subgroup will necessitate the creation of a separate sub group. For example, if Karate lessons are offered to the youngest children from 4PM to 5PM and to older children from 5PM to 6PM, two separate sub groups need to be created with understandable group names with a notification time for one group at 4PM and the other at 5PM.
