When a classroom teacher, an administrator, or a parent desires to perform a Current Day Override to the normal dismissal method the list of options includes Pick Up Only, Alternate Pick Up, and the list of all groups to which the student is associated. For this reason, it may be applicable to associate a student to a group without having any specific day of the week selected.
For example, a student may ride a specific bus only on those days on which the parent determines necessary but without any regularity. Presume that this week a parent has on obligation during dismissal on Tuesday so the child must ride the bus that day but on nearly every other Tuesday the parent will pick up the child. In this scenario the student will be associated to the specific bus group but not for any preset days of the week. Then, on Tuesday morning, the parent will contact the school or possibly use one of the available parent interface methods to explicitly set the Current Day Override value for the student to the bus. If the student is not associated to the bus then that option will not appear in the list of option for the Current Day Override.
Whenever a student is associated to a group but no days of the week are specified the student is termed to be optionally associated to the group.
In contrast to the optional association for a student to a group, a student may be configured to be associated to a group for one or more specific days during the week. When a student is associated to a group and the day of week check mark is set that student will be notified every week on that day when the group is called for dismissal (unless otherwise set for a Current Day Override to a different dismissal method.)
For example, a student is associated to a specific bus and the day of the week check mark is set for Tuesday. Every Tuesday when that specific bus group is called the student will be called to get on the bus, notwithstanding a Current Day Override to an alternate method.
Even if the parent appears in the pick up line and displays the pick up ID number, when the bus is called the student will be summoned to the bus and to the pick up area (dependent upon the school configuration) unless a Current Day Override is in effect.
The day of the week associations continue in perpetuity until such a time the student association for that day of the week is removed. That is, each and every Tuesday the student will be called for the specific bus group until either the bus group association for Tuesday is removed or on those days a Current Day Override is performed.
Student associations to groups may be performed on an individual student by classroom teachers, parents (if allowed via school settings), and administrators. This section describes the method for administrators.
The first requirement is to select the specific student for which associations will be made. Do this by navigating to Menu: Students / List / <first letter of last name> then clicking on the last name of the student in the list.
On the Edit Student page, there will be displayed several different sections related to the student. The section relevant is at the bottom of the page titled Assign Student to Groups. Each change made in this section is recorded immediately in the system; there is no requirement to press a Save button to record the changes.
The Assign Students to Groups section lists the groups defined for the school, first by type of group then alphabetically within the group type by group name.
If the student does not have a current Extended Care license then groups of type Extended Care, Extended Care (Immediate), and Extended Care Sub Group will not be displayed. To display these groups for a specific student it is first necessary to update the student record at the top of the page to assign the student an Extended Care license.
Read the section Performing the Assignment for the mechanics of how to assign the student to the groups.
To assign multiple students to a group, it is first necessary to navigate to the edit group page. This may be accomplished by going to Menu: Groups / List All or Menu: Groups / <specific group type> to display a list of groups.
From the list of groups, click on a specific group name in the second column titled Group Name; this will open the Edit Group page.
Scroll down the page below the general group parameters to the section titled Assign Students.
Depending upon the type of group, the Assign Students section will list all or only some of the student in the school. If the group is of type Extended Care, Extended Care (Immediate), and Extended Care Sub Group then only students with a current Extended Care license will be listed. For all other group types, the student list will include all of the students in the school in alphabetical order by last name.
Read the section Performing the Assignment for the mechanics of how to assign students to the group.
The actual assignment of a student to a group is performed nearly identically whether the operation is assigning different students to a single group or assigning a single student to multiple groups.
The different lies in the specific contents of the list. When operating on a group as a whole the list contains individual students; when operating on a single student the list contains a list of groups.
The first column is titled O / W / A and will have either three unchecked boxes or a single checked check box.
If a student is assigned to the group, the single check box with a check will appear in the first - O / W / A - column.
If a student is not assigned to the group then the three unchecked boxes will be displayed.
Setting any check mark in the O / W / A column associates the student to the group; the difference in the three check boxes is which days are also set when the student is added to the group.
No additional Save is required to add the student to the roster.
Depending upon which check box in the first column is selected, the student will be set for the group for zero, five, or seven distinct days.
The appropriate days for the student may be set by setting or removing check marks for the individual days. Each of the O / W / A check boxes can result in the same final configuration for a student by setting or removing check marks for individuals days as required.
A student cannot be added for a day without first one of the check boxes in the O / W / A column to add the student to the group.
When a student is associated to a group, the three O / W / A check boxes will be displayed as a single checked check box indicating that the student is associated to the group even if not set for any specific day by defualt.
Unchecking the leftmost check mark - the check mark in the O / W / A column - will remove the student from the group roster and also remove the setting for any individual days as the student is no longer a member of the group. The student will not be called for group on any day of the week and the group will not be available as a Current Day Override for staff or parents. To allow the group to be available as a Current Day Override option, remove only the check marks adjacent to specific days but leave the check box set in the O / W / A column.
The set of students assigned to a group is presented in several different ways. See the Group Rosters page for more information.
