Group Assignment

When a classroom teacher, an administrator, or a parent desires to perform a Current Day Override to the normal dismissal method the list of options includes Pick Up Only, Alternate Pick Up, and the list of all groups to which the student is associated. For this reason, it may be applicable to associate a student to a group without having any specific day of the week selected.

For example, a student may ride a specific bus only on those days on which the parent determines necessary but without any regularity. Presume that this week a parent has on obligation during dismissal on Tuesday so the child must ride the bus that day but on nearly every other Tuesday the parent will pick up the child. In this scenario the student will be associated to the specific bus group but not for any preset days of the week. Then, on Tuesday morning, the parent will contact the school or possibly use one of the available parent interface methods to explicitly set the Current Day Override value for the student to the bus. If the student is not associated to the bus then that option will not appear in the list of option for the Current Day Override.

Whenever a student is associated to a group but no days of the week are specified the student is termed to be optionally associated to the group.

To assign multiple students to a group, it is first necessary to navigate to the edit group page. This may be accomplished by going to Menu: Groups / List All or Menu: Groups / <specific group type> to display a list of groups.

From the list of groups, click on a specific group name in the second column titled Group Name; this will open the Edit Group page.

Scroll down the page below the general group parameters to the section titled Assign Students.

Assign Students

The Assign Students section lists all of the students in the school in alphabetical order by last name.

O / W / A Check Boxes

The first column is titled O / W / A and will have either three unchecked boxes or a single checked check box.

If a student is assigned to the group, the single check box with a check will appear in the first - O / W / A - column.

If a student is not assigned to the group then the three unchecked boxes will be displayed.

Adding a Student to the Group Roster

Setting any check mark in the O / W / A column associates the student to the group; the difference in the three check boxes is which days are also set when the student is added to the group.

  • O - Optional; associates the student but does not set any days
  • W - Weekdays; associates the student and sets the days from Monday through Friday
  • A - All; associates the student and sets all of the days

No additional Save is required to add the student to the roster.

Specifying Days

Depending upon which check box in the first column is selected, the student will be set for the group for zero, five, or seven distinct days.

The appropriate days for the student may be set by setting or removing check marks for the individual days. Each of the O / W / A check boxes can result in the same final configuration for a student by setting or removing check marks for individuals days as required.

A student cannot be added for a day without first one of the check boxes in the O / W / A column to add the student to the group.

Removing a Student from a Group Roster

When a student is associated to a group, the three O / W / A check boxes will be displayed as a single checked check box indicating that the student is associated to the group even if not set for any specific day by defualt.

Unchecking the leftmost check mark for a student will remove the student from the group roster and also remove the setting for any individual days as the student is no longer a member of the group.
